How to request data deletion

 

Botco.ai builds conversational AI assistants that businesses use on their own websites and on messaging platforms such as Facebook Messenger and Instagram. If you have chatted with an assistant powered by Botco.ai, this page explains how to ask for your conversation data to be deleted.

Who this page is for

Use this page if you have:

  • Chatted with a Botco.ai-powered assistant on a business’s website
  • Messaged a business on Facebook Messenger or Instagram and received replies from an automated assistant
  • Interacted with a Botco.ai assistant through SMS

You do not need a Botco.ai account to make a request, and there is no charge.

What we hold

When you chat with an assistant, we may store:

  • The messages you sent and the assistant’s replies
  • A platform-assigned identifier for your account — on Facebook and Instagram this is an app-scoped ID, a number unique to that one business’s assistant. It is not your Facebook username and cannot be used to identify you elsewhere.
  • Any details you volunteered in the conversation, such as a name, email address, or phone number
  • Technical metadata such as timestamps and the channel you used

We do not receive your Facebook password, friend list, or profile data beyond what the platform provides to the business you messaged.

An important note about who controls your data

Botco.ai provides the assistant technology, but the business you were chatting with decides what is collected and how long it is kept. In privacy terms, they are the data controller and we act on their instructions.

This does not mean you have to chase them yourself. Send your request to us and we will act on it in our own systems and pass it to the relevant business. If you already know which business you contacted, telling us speeds this up considerably.

How to request deletion

1. Email us

Send a message to [email protected] with the subject line “Data deletion request”.

2. Tell us where you chatted

So that we can find your records, please include as much of the following as you can:

  • The business, brand, or Facebook/Instagram Page you were messaging
  • The channel — Facebook Messenger, Instagram, website chat, or SMS
  • The name or handle on the account you used
  • The approximate date of the conversation
  • Any name, email, or phone number you gave the assistant during the chat

You do not need to know any technical identifier. If you have very little detail, send the request anyway and we will do what we can with it.

3. We may ask you to confirm it is you

To protect your data against fraudulent requests, we may reply asking you to confirm your identity — for example, by replying from the email address used in the conversation. We will only ask for what is needed to make the match.

What happens next

  • We acknowledge your request, normally within 5 business days.
  • We complete the deletion within 30 days, and confirm by email when it is done. If the request is complicated and we need longer, we will tell you why and give you a revised date.
  • We delete the conversation records and identifiers we hold, and instruct the business you contacted to do the same.
  • Where we are required by law to retain certain records — for example billing or security logs — we will say so explicitly rather than delete quietly.

Deletion is permanent. We cannot restore a conversation once it has been removed.

Facebook and Instagram users: removing the app

Removing the assistant from your Facebook or Instagram account stops future data being shared, but does not by itself delete conversations already held. To do both, remove the app and send us a deletion request using the steps above.

To remove it on Facebook:

  1. Go to Settings & Privacy → Settings
  2. Open Apps and Websites
  3. Find the business’s app in the list and select Remove
  4. Tick the option to delete posts and data associated with the app

Facebook will notify us of the deletion request, and we will act on it. Sending us an email as well helps us match the request to your conversations faster.

If you are a Botco.ai customer

If you operate an assistant built on Botco.ai and need to action a deletion request on behalf of one of your own users, please raise it through your usual support channel rather than this page, so that we can verify the request against your account.
